CONFERENCE PRODUCTION FAQS

How much does AV production cost for a conference?

Conferences Bluefox Production produces typically range from $25,000 to $100,000. The biggest cost drivers are the number of show days, how many breakout rooms run at once, LED wall size, and travel. Bluefox itemizes every quote so you can see the cost of each room and element.

What AV do I need for a 200-person conference?

A 200–300 person conference typically needs front projection or an LED wall, stage lighting, a full audio system with wireless mics, confidence monitors for presenters, IMAG cameras so the back of the room can see speakers, and support for each breakout room. Bluefox Production scales the package to your room and agenda.

What is IMAG and do I need it?

IMAG, short for image magnification, is a live camera feed of the presenter shown on the main screens. Once an audience passes about 200 people, attendees in the back can no longer see faces or demos clearly. IMAG fixes that and makes keynotes feel more personal.

Do you support breakout rooms during a conference?

Yes. Bluefox Production supports breakout rooms with projection, audio, and a dedicated technician in each room. Each breakout has its own tech, so a problem in one room never pulls crew from the general session, and breakout transitions stay on schedule.

LED wall or projection: which is better for a conference?

LED walls are brighter, sharper, and unaffected by room lighting, which makes them better for large rooms, daytime sessions, and on-camera content. Projection costs less and works well in controlled lighting. Bluefox Production recommends one or the other based on room size, ceiling height, budget, and how the session will be filmed.

How far ahead should I book production for a conference?

Book 3–6 months ahead, and earlier for spring and fall, the busiest conference seasons. Early booking leaves time for a venue site visit, stage design approval, and presenter content collection.

MORE HIGH-IMPACT MAIN-STAGE MOMENTS, LESS STRESS.
